CASE STUDY

Genius Unlocked Coaching

Most businesses that we speak to have at least one role they’re struggling to fill.

Background

Genius Unlocked Coaching Institute is a training company that helps anyone master the skill of learning, ultimately leading to success in any high-stake exam or test. They believe that everybody is born a genius, and their job is to unlock the hidden genius in everyone.

Hunter Lowder is the Director of Operations.

Requirements

Hunter wanted to find a Virtual Assistant (VA) to take over some of her admin duties, leaving her with more time to focus on strategic planning. But this simple task soon became overwhelming. As Hunter explained:

“There are a million VAs, like all over the world, that have different expertise, different pricing and different services. There are so many people available, but are they good? Are they not? Are they trained? Are they going to be the right fit? Do they have the right skills?

“We actually did hire somebody in that role, and it turned out they did not have the skill set we needed. So we really knew we wanted to do it in a different way the next time we hired somebody.”

The Solution

Hunter came to realise that finding a partner who could locate that right person for her would save her a huge amount of time. That’s when she came across Resource Worldwide.

Hunter commented, “I'm a fan of VAs, and I always have been in all of my businesses that I've been a part of. At a certain point in business, it's important to pass more administrative tasks along to somebody who is really good at doing that, and then you’re free to go off and do what you're really good at, which hopefully is building the business and/or taking more time for yourself as well.

“With any VA, it's really important to have an idea of what you want them to do when they come in. If you already have a system in place, that's awesome, because you can just say here's how we do it. If you don't, then it's good to kind of think about what needs to happen to have this be done.

“Also, since we're working on slightly different time zones, in the sense of I work part time and Chris works full time, she can even get stuff done when I'm not working because I’ve created a video telling her all she needs to know. It's a really nice cycle and flow. She comes to work in the morning, and by the time I get in, I’ve answered her questions. And then we both work on our own things in the afternoon.

“I think if you just kind of embrace either frequent meetings at least once a week, and walkthrough videos, it keeps the work moving forward.”

Challenges

The process of recruiting is always ongoing, and Hunter has experienced what many people have.

She said, “We went through a couple of VAs at first to find the perfect one that we have now. I think this is just natural, because not everybody's going to be a great fit. Sometimes people change careers, and people naturally move on.

“But with Resource Worldwide, I can say, ‘Hey, can you please help me find my new VA because this person isn't working out?’ Or like the position that we're in right now. We're still growing and we need a new person, and Resource Worldwide help us to find that new person. It saves an enormous amount of time and it just takes that time off my plate.”

The Future

Hunter said, “For me, working with somebody from the Philippines is not even a thought. We're all people, we all have skills, we all have abilities, everybody speaks wonderful English and does an amazing job. It's not even a concern or an issue that they are from the Philippines, in my opinion.

“If anything, I love the fact that we can give these opportunities to people in other countries. And I love the Resource Worldwide philosophy of paying them a good wage and educating them. Building them up is really fantastic. What an amazing opportunity to have that.

“We all work remotely, we all work at different times, that should be a really easy transition. If you're more of a brick and mortar business, then you wonder how's this going to work when they're not here, and I can't see them. And that's where you can just bring in again those tools like screen recordings, possibly using a communication tool, like Slack. You just want to look at it a little bit differently than seeing this person in the office every day.

“In my experience, I used to be brick and mortar before I was online. I think it's actually way more efficient to be online because there’s no let’s chit chat, let's gather around the watercooler and let's blah blah, blah. Instead, online it's like, here's what I need you to do in this period of time.”
